We are looking for an experienced Office Manager/Assistant to ensure the smooth running of the Aave Companies’ London HQ in Notting Hill on a day-to-day basis.

As the Office Manager/Assistant, you will play an instrumental role in cultivating a warm and welcoming office culture. Reporting to the Chief of Staff, your responsibilities will include all office management and assisting with internal team activities. We are looking for an individual with high standards and integrity in their work who is energetic and positive, with a can-do approach and exceptional organisation skills.


  • Ensure the smooth running of the office on a day-to-day basis.
  • Manage equipment and workstations to ensure that they are set up in an organised, efficient and streamlined manner.
  • Be responsible for ordering office snacks, lunches and birthday cakes.
  • Keep an up-to-date inventory of office supplies, and notify the Chief of Staff when any additional supplies should be ordered.
  • Help establish office procedures and ensure that they are being maintained.
  • Liaise with vendors to oversee office maintenance and aesthetics.
  • Coordinate with building management and troubleshoot any problems as they arise.
  • Distribute the post accordingly.
  • Help schedule meetings as and when required as well as some ad hoc work for the team when necessary.
  • Greet guests and act as the first point of contact in the office ensuring necessary paperwork is completed.
  • Manage the meeting room booking system.
  • Assist Chief of Staff with office social events such as dinners, parties and celebrations.


  • Experience in a similar role.
  • Reliability and discretion: you will often learn of confidential matters.
  • Ability to problem solve in a confident and creative manner.
  • Possess exceptional organisational and time management skills which you should apply to manage multiple tasks.
  • Hold confident skills in IT that you feel comfortable applying to the working environment.
  • Hold an ability to ‘make things happen’ with a proactive ‘can do’ attitude that you can share with the office.
  • Great communication, negotiation and relationship-building skills.
